Important Notes to Avoid Spam
Important Notes to Avoid Spam
Domain Reputation- Ensure your domain is not blacklisted by Google. Check at https://mxtoolbox.com/.
- If blacklisted, switch to another domain to avoid deliverability issues.
- Gmail has updated its spam filter, flagging emails with suspicious links.
- To avoid being flagged, check if your domain is listed on anti-spam services like Spamhaus, Spamcop, and Barracuda.
- Send test emails to your Gmail account to confirm that links are not blocked.
- Use personalized email addresses (e.g., duongvu@vccorp.vn) instead of generic ones like info@vinahost.vn, marketing@vinahost.vn, or sales@vinahost.vn.
- Avoid sending emails to an unverified list (unknown sources, uninterested users, or those who haven't subscribed).
- If recipients mark your emails as spam, your email address will be flagged as untrustworthy, increasing the chances of emails landing in the spam folder.
Email Content
Formatting Guidelines:- Avoid excessive images, large image sizes, or emails with only one image and little text (spam filters cannot analyze images).
- Do not use excessive capitalization, bold, or italic text for entire subject lines or content.
- Limit the use of multiple fonts, font sizes, and colors. Ensure text colors contrast well with the email background.
- Avoid excessive links or shortened URLs.
- Limit HTML formatting and do not include JavaScript, code snippets, or videos.
- Do not copy-paste directly from Word or websites without removing excess formatting.
- Avoid excessive special characters, unnecessary punctuation, and repeated exclamation/question marks.
- Do not attach files; instead, provide a link for users to access content.
- Include an unsubscribe link to allow recipients to opt out at any time.
- Personalize emails to ensure they are relevant to recipients.
- Use polite language with phrases like "Thank you" or "Sorry for the inconvenience."
- Avoid spam trigger words such as "Click here," "Once-in-a-lifetime opportunity," "Free," "Discount," "Earn money," and "Act now."
- Ensure the email footer contains business information, including address and contact details.
- The subject line and email content should not be identical.
- Use an integrated spam-checking tool to evaluate your email's spam score (aim for a low score, around 1.5, and eliminate detected spam words).
- Avoid sending emails to too many recipients within the same company, as their email firewall may flag it as a spam attack.
- The subject line and email content should not be identical.
- Test emails by sending them to various email providers (Gmail, Yahoo, etc.) before launching the full campaign.
- Check the recipient’s inbox to confirm emails are not landing in the spam folder.
- If emails end up in spam, revise the content and retest before starting the campaign.
